1. Who we are
Schools Geek ("we", "us") provides AI-powered websites, ERP, admission marketing and LMS software to schools, and a public school-search service for parents. We operate from India and serve schools in 18 countries. For anything in this policy, contact team@schoolsgeek.com or WhatsApp +91 95695 34431.
2. The three kinds of people we hold data about
- Website visitors & parents, people browsing schoolsgeek.com, searching schools, or submitting enquiry/demo forms.
- School customers, owners, principals and staff whose schools use our platform.
- Students & guardians inside school accounts, records a school stores in its ERP/LMS. For this data the school is the data controller; we are the processor acting on the school's instructions.
3. What we collect
- Forms you submit: name, role, school name, country, student-count band, WhatsApp number, email, and the solutions you're interested in.
- Approximate location: we look up your country from your IP address once, purely to show pricing in your currency. We store only the country code, never your IP-derived location history. You can override the country at any time.
- Usage basics: pages visited and device type, to improve the site.
- School platform data: whatever your school enters, student records, attendance, fees, payroll, homework, marks. This data belongs to the school.
4. What we do with it
- Respond to your demo request or enquiry (WhatsApp, call or email, that's why we ask).
- Run the platform for schools: attendance, fees, payroll, messaging, reports.
- Power AI features: our AI assistant answers questions from your school's own data. We do not use your school's data to train AI models for other customers.
- Improve the product and fix problems.
- Meet legal obligations (tax, accounting, lawful requests).
5. What we never do
- We never sell personal data. To anyone. Ever.
- We never show one school's data to another school.
- We never contact students directly for marketing.
- We never publish a review without identity verification, and we never let schools pay to delete genuine reviews.
6. Sharing
We share data only with service providers needed to run Schools Geek (hosting, messaging/WhatsApp delivery, payment processing, scheduling via cal.com), under contracts that limit their use of it; with authorities where the law requires; and with a school's own staff/parents according to the roles the school configures.
7. Student data, special care
Student records are the most sensitive thing we hold. Access is role-based (a teacher sees their classes; a parent sees only their child), data is isolated per school, and we process it solely to provide the service the school signed up for. Schools can export or delete their data at any time, see exit terms.
8. Retention
- Enquiry/demo leads: kept up to 24 months after last contact, then deleted.
- School platform data: kept while the subscription is active; exported on request and deleted within 90 days of account closure.
- Legal/financial records: kept as long as law requires.
9. Your rights
You can ask us to access, correct, export or delete your personal data, or to stop contacting you, email team@schoolsgeek.com with "Privacy request" and we'll respond within 30 days. If your data lives inside a school's account, we'll route the request via that school, since they control it. Depending on your country (e.g., India's DPDP Act, UAE/Saudi data-protection laws, GDPR where applicable), you may have additional statutory rights, we honour them.
10. Cookie Policy
We keep it minimal:
- Essential storage (always on): we use your browser's local storage to remember your chosen country/currency, form progress and sign-in session. The site can't work properly without these.
- Analytics (privacy-light): basic, aggregated page-view counts to see what's useful. No advertising cookies, no cross-site tracking, no third-party ad pixels.
- Third-party embeds: pages with Google Maps embeds or cal.com scheduling load content from those providers, which may set their own cookies under their policies.
Because we don't use advertising or tracking cookies, there's no cookie-consent wall to click through. Clearing your browser storage resets everything, including your country choice.
11. Security
Data is encrypted in transit, access is role-scoped and logged, and each school's data is isolated. No system is perfectly secure, if we ever discover a breach affecting your data, we will notify affected schools and users promptly and tell them exactly what happened.
12. Changes
If we change this policy in a way that matters, we'll say so on this page and, for schools, notify your admin account. The "last updated" date at the top always tells you the current version.
